Creating CRM Workflows
Objective
The goal was to create a series of automated workflows using Hubspot to streamline customer relationship management, sales pipeline management, and administrative tasks at 2gnoMe, resulting in significant time savings and revenue growth.
Role & Responsibilities
- Developed a set of CRM workflows to automate various processes, including admin sign-ups, lead management, email sequencing, opportunity stage changes, and customer onboarding.
- Created detailed documentation and presented the workflows using Canva to cross-functional teams, including sales and marketing, to ensure proper implementation and use.
Process/Approach
- Designed workflows to manage prospective and current admin activities, tracking sign-ups, demo calls, and sales stages.
- Automated processes such as tagging contacts, email follow-ups, lead nurturing, and opportunity management to reduce manual intervention.
- Streamlined data export/import processes from the Admin Portal into Hubspot, improving data accuracy and speed of execution for the sales team.
Key Metrics/Results
The implementation of these workflows resulted in cost savings of $30K annually due to time saved on administrative tasks. Additionally, the automation contributed to an increase in revenue as the sales pipeline became more efficient.
Challenges & Solutions
One challenge was ensuring that the workflows aligned with the specific needs of different types of administrators (state, district, and school-level). By conducting thorough testing and working closely with the sales team, I was able to fine-tune the workflows for seamless execution.
Tools/Technologies Used
Hubspot for CRM automation, Excel for data export/import, and Canva for workflow presentations to the team.
E-commerce Workflow Automation
Objective
The goal was to optimize Ooh Baby's e-commerce website for inventory management, homepage updates, and automated FedEx shipping label generation, leading to cost savings and improved operational efficiency.
Role & Responsibilities
- Designed and implemented automation workflows for inventory management, ensuring that the online store was always synchronized with in-store inventory.
- Developed automation for updating the homepage with new products and auto-generating FedEx shipping labels when orders were placed.
- Presented the workflow optimizations to the team to streamline day-to-day operations.
Process/Approach
- Integrated the e-commerce platform with inventory management tools to automate product updates based on stock levels.
- Automated FedEx label generation and printing directly from the website's frontend to save manual work for store employees.
- Regularly tested and iterated on the workflows to ensure accuracy and reliability of the system, reducing errors in order processing.
Key Metrics/Results
The e-commerce workflow automation saved Ooh Baby approximately $3K per month in labor costs by reducing manual tasks. Additionally, the improved inventory management led to fewer out-of-stock situations, improving customer satisfaction.
Challenges & Solutions
The main challenge was ensuring that the automation could handle varying product types and sizes, especially for custom and upcycled items. By integrating more dynamic inventory management solutions and working closely with the FedEx API, I ensured that the system could adapt to different order requirements.
Tools/Technologies Used
FedEx API for shipping label automation, Square for payment processing and inventory sync, and the e-commerce platform's backend for automation scripts. Wordpress for CMS. GoDaddy for website hosting.
